Fleet maintenance software for the workshop that looks after the fleet
Regular checks on vans, company cars, HGVs and trailers done on a phone at the customer's yard, driver walkarounds, defects turned into priced jobs, a signed PDF for every check and a portal the operator can open on their phone. Built in to GarageDash at no extra cost.
Most fleet software is sold to the operator and priced per vehicle. GarageDash is built for the other side: the independent workshop or mobile technician who's been asked to "keep an eye on the trucks". You run the checks, you fix what you find, you invoice it, and the operator sees all of it without ringing you.
What's in the fleet module
Regular checks on a phone
Separate item lists for tractor units, trailers, vans and cars, following the DVSA inspection manual for the heavy stuff. Serviceable, monitor or defect on each line, photos on anything that isn't right. Two technicians can work the same check on two phones.
A tyre round that remembers
Tread, pressure and date code per wheel. The Tyres tab lists every tyre on the fleet that needs pumping up or changing, with the last reading and the target pressure for that position.
Defects become jobs
Anything marked defect or monitor goes on a jobs list for that fleet. Price it, do it, tick it off. Open defects carry forward to the next week's sheet until they're fixed.
A signed PDF per check
Each check signs off to an Annex-4A-style PDF with the ISO week, odometer, tyre readings and photos, kept against the vehicle and emailed or printed in one tap.
Driver walkarounds and defect reports
Drivers open a link with a PIN, run the GOV.UK daily walkaround on their phone and report problems with photos. Reports land with the workshop and show in the operator's portal.
An operator portal, no app to install
Trucks, trailers, open defects, every check PDF, invoices and vehicle documents behind a PIN, on the workshop's own domain if you want. Traffic-light cards so the operator sees the state of the fleet in a glance.
Built for how a small fleet contract actually runs
A flat weekly price for the round, repairs quoted on top, MOT and plating dates tracked so nobody gets caught out. The checks sit alongside the operator's statutory safety inspections rather than replacing them, and every sheet says exactly that, so the workshop isn't dragged into something it didn't sign up for.
Included in the £29/month subscription
Fleet checks, the tyre round, driver walkarounds, PDFs and operator portals are part of the standard plan, no per-vehicle fee, no per-check fee, no separate fleet module to buy. One subscription covers every fleet the workshop looks after.
Frequently asked
Is this for operators or for workshops?
For the workshop or mobile technician who looks after the fleet. The workshop runs the checks and repairs in GarageDash; each operator gets their own read-only portal with a PIN to see their trucks, trailers, defects, check PDFs, invoices and documents.
Are the checks statutory safety inspections (PMIs)?
No. The checks follow the DVSA inspection manual item list but are recorded as the workshop's own weekly checks, not statutory safety inspections, and every sheet says so. Operators keep their PMI arrangements and use these checks to catch problems between them.
Can drivers use it?
Yes. Drivers get the operator's link with a drivers PIN, complete the daily walkaround on their phone and can report a problem with photos. Reports go to the workshop and appear in the operator's portal.
Does it cost extra?
No. It's all part of the standard GarageDash plan at £29 a month, with no per-vehicle or per-check fee.
